The Data and AI School of London is an NCFE-approved training provider delivering regulated qualifications in Programming, Cyber Security, Data Science, Cloud and Functional Skills English. We are registered with the Information Commissioner's Office (ICO) under registration number ZC086597.
2. What personal data we collect
We collect and process the following categories of personal data:
- Identity data: full name, date of birth, gender, nationality, title
- Contact data: home address, email address, telephone number
- Education data: prior qualifications, grades, learning needs, English and maths levels
- Employment data: employment status, employer name, job title
- Equality and diversity data: ethnicity, disability or learning difficulty status (collected under the Equality Act 2010 and for NCFE reporting)

4. Who we share your data with
- NCFE (our awarding organisation): we are required to share your registration data, assessment outcomes and equality monitoring data with NCFE to issue your qualification certificate.
- The Education and Skills Funding Agency (ESFA) / Skills England: funding and statistical reporting where applicable.
- IT service providers: our Moodle VLE is hosted by a UK-based provider operating under a data processing agreement compliant with UK GDPR.
- Regulatory bodies: Ofqual, ICO or law enforcement where required by law.
- We do not sell your data to third parties or use it for marketing without your separate consent.
5. How long we keep your data
- Learner records and qualification evidence: 7 years after the end of your qualification (NCFE centre requirements)
- Financial records: 6 years (HMRC requirement)
- Safeguarding records: as required by statutory guidance
- Platform usage logs: 12 months
6. Your rights under UK GDPR
You have the following rights regarding your personal data:

1. Acceptance of terms
By accessing and using The Data and AI School of London Virtual Learning Environment (VLE), you agree to be bound by these Terms and Conditions. If you do not agree, you must not access or use this platform.
2. Your account
- You are responsible for maintaining the confidentiality of your username and password.
- You must not share your login credentials with any other person.
- You must notify us immediately at info@dataaischool.com if you suspect unauthorised use of your account.
- You must ensure the information associated with your account is accurate and up to date.
3. Acceptable use
You agree to use this platform only for lawful purposes and in a way that does not infringe the rights of others. You must not:
- Post, upload or share content that is illegal, offensive, defamatory, discriminatory, or harassing
- Attempt to gain unauthorised access to any part of the system or other users' accounts
- Introduce viruses, malware, or other harmful code
- Use the platform for any commercial purpose without our written permission
- Scrape, harvest or collect other users' data
- Impersonate any person or entity
4. Intellectual property
All course materials, teaching content, assignment briefs, scheme of work documents and resources on this platform are the intellectual property of The Data and AI School of London or its licensors. You may:
- Access and use course materials for your own personal study in connection with your enrolled qualification
- Download materials for offline study (where permitted by the platform)
You may not reproduce, distribute, publish, sell or create derivative works from any course materials without our express written permission.
5. User-generated content
You retain ownership of work you submit as part of your assessment portfolio. By submitting work to this platform, you grant The Data and AI School of London a non-exclusive licence to use, store, assess and share your work with NCFE for quality assurance and awarding purposes.
6. Availability of the platform
We aim to make the platform available at all times but cannot guarantee uninterrupted access. Scheduled maintenance will be notified in advance where possible. We are not liable for any loss resulting from platform unavailability.
7. Limitation of liability
To the extent permitted by law, The Data and AI School of London is not liable for any indirect, consequential or special loss arising from your use of this platform. Our total liability to you shall not exceed the fees you have paid for your qualification.
8. Termination
We reserve the right to suspend or terminate your access to the platform without notice if you breach these terms or engage in conduct that we reasonably believe to be harmful to other users, staff or the reputation of the School.
9. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Learner Agreement and NCFE Registration Consent

1. Accuracy of information
I confirm that all information I have provided in my application and during registration is true, accurate and complete to the best of my knowledge. I understand that providing false or misleading information may result in my enrolment being withdrawn without refund and may be reported to NCFE.
2. NCFE registration and data sharing
I understand and consent to the following:
- The Data and AI School of London will register me as a candidate with NCFE (our awarding organisation) to work towards my chosen qualification.
- My personal data (including name, date of birth, contact details, equality and diversity data and assessment outcomes) will be shared with NCFE as required for registration, certification and quality assurance purposes.
- NCFE may contact me directly for the purposes of research, quality assurance or surveys related to my qualification.
- My qualification certificate will be issued by NCFE and will carry my name as registered.
3. Assessment integrity
I understand and agree that:
- All work I submit for assessment must be my own original work unless clearly attributed to a source.
- I must not plagiarise (copy without attribution), collude (work with others in a way not permitted), or contract-cheat (submit work produced by another person or AI system as my own).
- Using AI tools (such as ChatGPT or similar) to generate substantial portions of my submission without disclosure constitutes academic misconduct.
- Any suspicion of malpractice will be investigated by the School and may be reported to NCFE, which could result in disqualification, certificate cancellation or a bar from future NCFE qualifications.
- I must not make the assessment materials available to others who are not registered learners of this qualification.
4. Equality, diversity and inclusion
I agree to:
- Treat all fellow learners, tutors, assessors, verifiers and staff with dignity and respect at all times.
- Not discriminate against or harass any person on the grounds of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex or sexual orientation (Equality Act 2010).
- Report any equality or diversity concerns to the School at info@dataaischool.com.
5. Safeguarding
I understand that:
- The Data and AI School of London has a duty to safeguard and promote the welfare of all learners, including adults at risk.
- I must report any safeguarding concerns to the Designated Safeguarding Lead at info@dataaischool.com or call +44 207 0990 956.
- In an emergency, I should call 999.
6. Attendance and engagement
I commit to:
- Engaging with all learning activities and resources relevant to my qualification.
- Submitting assessment evidence by the agreed deadlines or communicating with my assessor in advance if I require an extension.
- Responding to feedback from assessors and acting on recommendations for improvement.
7. Complaints and appeals
I understand that if I am dissatisfied with any aspect of my experience, I have the right to use the School's formal complaints procedure, available at www.dataaischool.com/complaints.html. If I believe an assessment decision is wrong, I have the right to appeal through the assessment appeals process.
8. Fees and withdrawals
I understand the School's fee and refund policy and agree to pay any applicable fees in accordance with the agreed payment terms. If I wish to withdraw from my qualification, I will notify the School in writing at info@dataaischool.com.

Acceptable Use Policy (AUP)

1. Purpose
This Acceptable Use Policy (AUP) applies to all users of The Data and AI School of London's digital systems, including the Moodle Virtual Learning Environment (VLE), email systems, and any other technology provided or managed by the School. Its purpose is to ensure our systems are used safely, responsibly and in accordance with the law.
2. Scope
This policy applies to all learners, staff, assessors, verifiers, contractors and any other person who accesses our digital systems, regardless of the device or location from which access occurs.
3. Permitted use
You may use School digital systems for:
- Accessing your course materials, assignments and qualification resources
- Submitting portfolio evidence and assignments
- Communicating with tutors, assessors and fellow learners for educational purposes
- Accessing School communications, announcements and timetables
4. Prohibited use
You must not use School digital systems to:
- Access, store, create or transmit any unlawful, offensive, discriminatory, defamatory, obscene or threatening content
- Harass, bully or intimidate any other user, learner or member of staff
- Share your login credentials with any other person or allow others to access systems using your account
- Attempt to gain unauthorised access to systems, data or accounts belonging to others
- Install, upload or distribute any software, virus, malware, ransomware or other harmful code
- Use systems to conduct commercial activities for personal gain
- Infringe intellectual property rights (copyright, trademarks, patents) of the School or third parties
- Circumvent any security measure, monitoring system or access control
- Use any artificial intelligence or automated tool to generate assessment submissions without disclosure
- Record, screenshot or distribute any live session, video or audio content without the express permission of all parties
5. Online safety and cybersecurity
You are responsible for maintaining the security of your own device and account. You must:
- Use a strong, unique password for your VLE account and change it if you suspect it has been compromised
- Log out of the platform when using shared or public devices
- Keep your device's operating system and security software up to date
- Be vigilant about phishing emails, fraudulent links or requests for your credentials
- Report any suspected security incidents immediately to info@dataaischool.com
6. Data protection and confidentiality
- You must handle all personal data relating to other learners or staff with discretion and in accordance with our Privacy Policy.
- You must not share or discuss other learners' assessment results, personal details or feedback without their consent.
- Assessment materials marked as confidential must not be disclosed outside the assessment process.
7. Monitoring
The Data and AI School of London reserves the right to monitor activity on its systems, including login records, access logs and content submitted or communicated via the platform, for the purposes of security, quality assurance and compliance with this policy. Such monitoring is carried out in accordance with UK GDPR and our Privacy Policy.
8. Consequences of breach
Breaches of this policy may result in:
- Immediate suspension of access to the platform
- Formal investigation under the School's disciplinary or malpractice procedures
- Termination of enrolment without refund
- Reporting to NCFE, which may result in disqualification or a bar from future qualifications
- Reporting to the police or other relevant authorities where criminal conduct is suspected

10. Review
This policy is reviewed annually. The current version is always available on the VLE. Significant changes will be communicated to all users.
